Mission: to support the French Towns Reception team (AVF – Pornichet) in organizing their 40th anniversary celebration.
To celebrate the 40th anniversary of the Accueil des Villes Françaises (AVF – Pornichet), we designed and orchestrated a tailor-made event, transforming the 850m² Grand Hall des Paris at the Pornichet racecourse into a warm and immersive space. From pre-production to the final staging, our team ensured seamless and precise execution, guaranteeing a memorable evening for the 350 guests.
Production management – An organization controlled upstream
Rigorous preparation is essential to ensure the success of an event of this magnitude. Eight months before the big day, we initiated discussions with the AVF's "events committee" to understand their expectations and develop a comprehensive technical plan. Through location visits, video conferences, and a study of budgetary and logistical constraints, we were able to develop a precise project that perfectly met their needs.
Managing the pace of the event and the highlights.
A successful event relies on a smooth and dynamic flow of key moments. We developed a detailed technical brief with the client, and our tour manager ensured seamless coordination of speeches, happenings, and video broadcasting. Careful coordination with the catering team also allowed us to optimize the meal service while respecting the evening's tempo.
General management (sound, lighting, video) – Impeccable technical execution
Our team of technicians managed the entire event, deploying audiovisual solutions tailored to the scale of the Hall. Thanks to a smart mix of technology and expertise, we ensured seamless coverage of sound, lighting, and video, offering guests an immersive and high-quality experience.
Lighting up the 850m² of the Grand Hall
Enhancing such a vast space was an exciting challenge. We installed 20 robotic lights to create evolving lighting moods and highlight the venue's magnificent metal arches. A custom lighting design provided visual impact at each key moment of the evening.
Immersive video streaming
To ensure optimal visibility of the broadcast content, we used a comprehensive video setup with two large video projection screens and two video monitors on stands strategically positioned throughout the room. This setup allowed all guests to follow the presentations and videos in the best possible conditions, regardless of their seat in the space. Our team controlled all content from a complete Blackmagic control room.
Sound system and speech management
A high-quality audio system is essential to ensure optimal listening comfort. We installed four designer column sound systems, specially selected to provide even coverage without being visually intrusive. Every speech and musical moment benefited from clear and balanced sound.
A DJ to get 350 guests dancing
To round off the evening in style, we booked a generalist DJ, capable of adapting to a diverse audience and delivering a lively musical program. A dynamic and unifying set that kept guests dancing all night long.
An elegant and functional scene
In order to enhance the speeches and capture the attention of the guests, we designed and installed a 12m² stage with a sober and elegant design: black carpet and neutral stage backdrop to effectively highlight the speakers.
